Privacy Policy

1. Introduction

Structify.AI ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have when you use our construction estimating and design-intelligence platform (the "Service").

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where we offer the Service to users in other jurisdictions, additional rights may apply (see section 11).

2. Information We Collect

2.1 Information you provide

• Account information (name, email address, password — passwords are stored hashed)
• Company information (business name, ABN, address, role)
• Project files and documents (PDFs, architectural drawings, schedules, specifications)
• Payment information, handled directly by our third-party payment processor — we do not store full card numbers on our systems
• Communications with our support team or via in-product chat

2.2 Information collected automatically

• Usage data (features used, pages visited, clicks, time on task, errors)
• Session-replay data for authenticated users — see section 4
• Device information (browser type and version, operating system, screen size)
• Approximate location derived from IP address
• Cookies and similar tracking technologies

2.3 Information generated by the Service

• AI-generated extractions, estimates, scopes, and analyses derived from your project files
• Metadata about pipeline runs (timing, errors, retries)

3. How We Use Your Information

We use your information to:

• Provide, operate, secure, and maintain the Service
• Process your drawings and generate estimates, scopes, and insights
• Diagnose issues, prevent abuse, and improve reliability
• Conduct product analytics so we can understand how the Service is used and improve features (see section 4)
• Improve the quality of our extractions and AI outputs over time
• Communicate with you about your account, billing, security, and product updates
• Process payments and manage subscriptions
• Comply with legal, regulatory, and audit obligations

We do not sell your personal information. We do not provide the contents of your project files to third parties for any purpose other than processing them on your behalf to deliver the Service.

4. Cookies, Analytics, and Session Replay

We use cookies, similar tracking technologies, and product-analytics tools to operate the Service, keep you signed in, remember preferences, understand how the Service is used, diagnose issues, and improve features and reliability.

4.1 Cookies and similar technologies

• Strictly necessary — required for the Service to function (e.g. authentication, session management, security and abuse prevention). These cannot be disabled.
• Functional — remember your preferences and settings.
• Analytics — help us understand how the Service is used in aggregate.

4.2 Product analytics

We collect aggregate usage events such as page views, clicks, feature usage, sign-ups, and errors. We use this data to identify which features are valuable, find bugs, and prioritise improvements.

4.3 Session replay

For authenticated users (i.e. users signed into the app), we use session-replay technology that captures in-app interactions such as clicks, mouse movement, scrolling, and on-screen content within the Service. Session replays are not recorded for anonymous visitors to our marketing site. Replays are accessed only by Structify.AI staff for product-improvement, debugging, and abuse-prevention purposes.

We do not use cookies, analytics, or session-replay data for advertising, and we do not sell this data.

You can control cookies through your browser settings, install browser extensions that block analytics scripts, or contact us at lakshay@structifyai.com.au to request that session replay be disabled for your account.

5. Data Storage and Security

Your data is encrypted in transit (TLS) and at rest. Project files are stored with reputable cloud-storage providers, with access controls, audit logging, and least-privilege access for our team. We implement reasonable technical and organisational measures to protect your information against unauthorised access, alteration, disclosure, or destruction.

No system is perfectly secure. If you believe your account or data has been compromised, contact us immediately at lakshay@structifyai.com.au.

6. Data Retention

We retain personal information and project content for as long as your account is active or as needed to provide the Service. You can delete projects from within the app. When you close your account, we delete or de-identify your personal information within a reasonable period (typically 90 days), except where we are required to retain it to comply with legal, tax, accounting, or audit obligations, or to resolve disputes and enforce our agreements.

Aggregated, de-identified data (including statistics derived from usage of the Service) may be retained indefinitely.

7. Data Sharing

We do not sell your personal information. We share data only with the following categories of recipient:

• Service providers — hosting and storage, payment processing, email delivery, product analytics, session replay, and error monitoring, who process information on our behalf and under contract
• AI providers — large-language-model and document-processing APIs used to generate extractions and estimates from your files. We use commercially reasonable efforts to engage providers under terms that prohibit retention of your content for model training, but we cannot guarantee specific behaviour by any third party.
• Legal authorities — when required by law, subpoena, or to protect our rights, property, or safety, or that of our users or the public
• Successors — in connection with a merger, acquisition, financing, or sale of all or part of our business, subject to standard confidentiality protections

8. International Data Transfers

We are based in Australia, but our service providers and AI APIs may process data in other jurisdictions, including the United States and the European Union. By using the Service, you consent to your information being transferred to and processed in these jurisdictions, which may have different data-protection laws than your own. We take reasonable steps to ensure recipients handle your information consistently with this Privacy Policy.

9. Your Rights and Choices

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate or incomplete personal information
• Request deletion of your personal information
• Export your data in a portable format
• Object to or restrict certain processing
• Withdraw consent (where processing is based on consent)
• Opt out of marketing communications via the unsubscribe link in any marketing email
• Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) or your local data-protection authority

10. Children's Privacy

The Service is intended for construction professionals and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take steps to delete it.

11. International Users

European Economic Area, United Kingdom, and Switzerland. If you are located in these regions, our legal bases for processing your personal data are: (a) performance of a contract (to provide the Service); (b) our legitimate interests in operating, securing, and improving the Service; (c) compliance with legal obligations; and (d) your consent (where required, e.g. for non-essential analytics cookies).

California residents. The California Consumer Privacy Act (CCPA) provides specific rights regarding personal information. You may request access to, deletion of, or correction of your personal information, and you may opt out of the "sale" or "sharing" of personal information — although we do not sell personal information as defined under the CCPA.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Where required by law, we will provide additional notice or seek your consent.
